We are looking for a dedicated Product Team Assistant to join our dynamic team.


Role overview

The Product Team Assistant will play a crucial role in supporting the product team with documentation, administrative tasks, user research, marketing communications, quality assurance (QA), user acceptance testing (UAT), and customer service. This position requires a detail-oriented individual who can manage multiple tasks efficiently and contribute to the smooth operation of the product team.

Passionate about empowering Asia’s data storytellers and helping them find belonging with one another, we create educational content (workshops, talks, social media) as well as opportunities and supportive communities for data storytelling professionals and enthusiasts in the region.

Responsibilities

Documentation management

  • Prepare and maintain comprehensive documentation for product specifications, user manuals, and project updates.
  • Check learning resources for missing instructions and visual aids, supplement with material to support user learning.
  • Organise and update internal databases and archives.
  • Ensure all documentation is accurate, up-to-date, and accessible to relevant teams.
  • Provide regular updates on project status and deliverables.


Administrative support

  • Schedule and coordinate meetings, appointments, and events for the product team.
  • Assist in the preparation of presentations, reports, and other materials.
  • Take meeting notes.


User research

  • Monitor and analyse site analytics.
  • Assist in the planning and execution of user research studies, including but not limited to user interviews, accessibility testing, competitor analysis, industry insights, and literature reviews.
  • Manage correspondence and communications with user research participants when necessary.
  • Collect and analyse user feedback to inform product development.
  • Compile research findings into reports and presentations for the product team.


Marketing communications

  • Support the creation and distribution of marketing materials.
  • Assist in managing social media accounts and creating content.
  • Help coordinate marketing campaigns and track their performance.


Quality Assurance (QA) and User Acceptance Testing (UAT)

  • Assist in the development and execution of QA test plans.
  • Conduct UAT to ensure the product meets user needs and requirements.
  • Document and report any issues or bugs found during testing.


Other duties

  • Assist with any ad hoc tasks as required by the product team, e.g. customer support & management

Qualifications

  • Previous experience in a similar administrative or support role.
  • Excellent organisational and multitasking skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Notion and G Suite (Google Sheets, Google Docs, and Google Slides) and familiarity with project management tools.
  • Attention to detail and a high level of accuracy.
  • Ability to work independently and as part of a team.

Preferred qualifications

  • Experience working in a tech or product-driven environment.
  • Familiarity with data visualisation tools and techniques.
  • Basic understanding of UI/UX principles.
  • Experience with user research methodologies and tools.
  • Knowledge of marketing communications and social media management.
  • Experience in the journalism or communications industry.
  • Experience with QA and UAT processes.
  • Experience in customer service or support roles.
